HVARC SNAPSHOT
The Hanover Virginia Amateur Radio Club (HVARC) continued its commitment to advancing amateur radio, supporting the local community, and facilitating technical education throughout the third quarter of 2025. This report presents a comprehensive review of club activities, membership statistics, operational highlights, and outreach efforts from July through September 2025. Our membership continues to grow steadily, with 19 new members joining in Q3 and 45 so far in 2025. This surge reflects the success of our outreach efforts - from the technician license class and Tomato Festival booth to our stronger social media and web presence, plus good old-fashioned word-of-mouth. With no dues and no lapses in membership, our retention rate remains at 100%, underscoring the strength of our community.
While HVARC is primarily a Hanover-based club, we're proud to welcome members from neighboring counties as well, showing that our engaging meetings and events resonate across the region.

Our outreach is making a real impact. In Q3, HVARC social media content reached over 25,000 viewers, with short-form content (Facebook Reels, TikToks) drawing the largest share of attention — and importantly, over 75% of those viewers weren't already following us. That means we're successfully getting in front of new audiences. Photos also performed well, with half of views coming from non-followers. On the web side, we saw over 535 visits to our site, with 90% of those being first-time visitors — most finding us through searches like "HVARC" or "ham radio clubs near me." This shows our efforts in building an online presence are connecting with people beyond our existing membership and are helping introduce amateur radio to the broader community.

HVARC's social media presence is soaring, engaging new audiences and expanding the reach of amateur radio. This achievement solidifies HVARC's role as the regional leader in digital outreach and education.
CLUB ACTIVITIES
Monthly Meetings
The Hanover Virginia Amateur Radio Club held three successful monthly regular meetings at the Atlee Branch Library:

July Meeting
Henry Boze, N4HB presented on Earth-Moon-Earth bounce communications, demonstrating advanced amateur radio techniques.

August Meeting
Paul B, KC4VDZ & Bubba, KC4ZSH showcased the recently revived 147.135 & 442.300 repeaters on the Monroe Building. They highlighted the history of the systems, equipment through the years, and more.

September Meeting
TJ Jennings, KN1ONE delivered an insightful presentation on Public Safety Communications Systems, highlighting how conventional repeaters can cause a bottleneck for mission critical communications.
PUBLIC SERVICE & OUTREACH
Field Support for Local Events
Ashland Half Marathon - August
HVARC members cooperated with Hanover ARES & Fire•EMS to provide communications support during the Ashland Half Marathon, ensuring participant safety and event coordination.
County Communications Exercise - September
HVARC members worked with Hanover ARES & Fire•EMS to exercise existing amateur infrastructure & simplex capabilities across the county in a comprehensive communications drill.

Community Impact: Our public service efforts demonstrate amateur radio's vital role in emergency preparedness and community safety. These exercises strengthen our readiness to serve when needed most.
COMMUNITY EDUCATION
Social Media Education
HVARC published short-form videos and educational flyers to social media platforms which successfully educated the public, recruited new members to the club, and engaged those audiences who may not be familiar with amateur radio.
Technician License Class
Under the guidance of Vice President Sean Pyne, our Technician License Class during Q3 achieved remarkable success! A 100% pass rate among all participants who took the exam, officially welcoming them as licensed amateur operators.
Hanover Tomato Festival
HVARC members, along with Hanover ARES manned a tent at the Hanover Tomato Festival where operators displayed & operated HF, VHF and UHF equipment and educated the public about amateur radio, the HVARC, and ARES.

THE LAUNCH OF HVARC SHOP
Online Merchandise Store
The club launched HVARC Shop, an online store through the platform "TeeSpring" that is home to over 25 uniquely designed t-shirts, hats, hoodies, and more.
The HVARC Shop provides club members and the public with an excellent opportunity to show pride in their membership with HVARC and their passion for radio in general.

TECHNICAL PROJECTS
ClubHub Upgrade
Challenge Identified
HVARC's webhost discontinued the existing forum platform used to support HVARC's Club Hub.
Solution Research
The web administrator evaluated other options and located a new, more feature rich platform in which to deploy Club Hub.
Successful Launch
The final product resulted in a more functional and modern Club Hub platform, which includes public-facing capabilities at the category level.
Codeplug Repository
Driven by an enthusiastic demand from our members, HVARC recognized the critical need for a centralized, shared resource for radio programming files. This sparked the creation of a truly dynamic and collaborative platform!
The Codeplug Repository is a community-fed hub, open to both HVARC members and the wider amateur radio public. It empowers anyone to upload and share radio codeplugs, fostering a culture of mutual support and innovation.
This initiative is revolutionizing how we share knowledge within HVARC and far beyond. It has quickly become the go-to destination within the club for all programming needs, significantly enhancing our collective expertise and solidifying our commitment to the amateur radio community!
SIGNAL VAULT
Dynamic Repeater Database
Members inquired about adding a list of local repeaters to the club's website.
Instead of a simple list, HVARC created a dynamic, database driven page called Signal Vault.
This page includes speculative coverage maps, frequency, location, trustee data and other information for the repeaters.

BUSINESS OVERVIEW
August Bylaws Amendment
Members voted on an amendment to the HVARC bylaws. The amendment adds language that explains the process for removing a Board member for dereliction of duties. This change was made because there was an established process for removing members, but not Board members.
September Bylaws Amendment
Members voted on an amendment to the HVARC bylaws. The amendment revises existing language that outlines the process for voting in new members. Existing language advised that new members are voted in by a majority of existing members. The amendment allows for members to be voted in by members present at a regular meeting instead of a majority of all club members.

Looking ahead, we're focused on innovative approaches to engagement and outreach. Our social media strategy has proven effective in reaching new audiences, and our upcoming mini field day will provide hands-on experience that showcases the excitement and practical value of amateur radio.
